Email can be sent by choosing “Email” for the field process in batchcom screen and the select other fields based on your requirements.
To customize the batchcom screen you need to work on the file /openemr/interface/batchcom/batchEmail.php

I am selecting Email from the batchcom tool in the miscellaneous tab. I am selecting other fields…but when i click on proceed…it shows this :-

What could be the problem???

Hi,
Based on your selections in other fields, patients are filtered to send email. This error is due to null value in “Contact Email” field of patient demographics. Ensure to fill email field for all the patients.

Thank u so much for clearing the problem. I want to ask you one thing…In the Encounter form, there is an option for selecting the facility. I have a single Facility only so I dont need to choose the facility, it is present there by default. Now, when I save an encounter, it shows the problem but facility is not shown after saving. Why this is so???

It seems there is no patient records exist for the values you entered in the all fields. Try with default values for the fields.

I tried with a single patient in the database too. But it shows the same result. Can you help me out by telling what should I type in Email Sender? Email Subject? Email Text Fields??? in Batchcom. What should I specify for overwriting HIPAA choice? Should I keep the " seen since" and " Not Seen Since" fields Empty???

Forgot to mention…
When I select EMAIL from the “process” field of Batchcom, Nothing is practically filled up in the fields. except Email sender has a value "your@example.com" and Email SUbject has a value " From Your Clinic". Isnt there a way to automatically send Emails as soon as I set up an appointment for any patient???

Overwrite HIPAA choice : No
Email sender : your email address (this mail id specifies the patient, from whom the mail came)
Email subject : The subject line for your mail.
Email text: Body of the mail. If you enter ***NAME***, this will be replaced with patient name.
Leave all other fields blank.
These field values are for testing only. once it started to work, define field values to your requirements
The feature of mailing to patient once the appointment is made is under development for version 4.0

But its still not working. Do I need to put my email address anywhere by default??? I made an appointment for a patient today at 3 pm for a visit on 30th of this month. Now I click on Batchcom and Put appointment within Dates to be 22nd july form the calendar there and end date to be 31st july from the calendar there. other coloumns I leave blank. I put Email Sender as my own email address and Email Subject as “Appointment” , Then I put the body of the email and clicked on proceed. it says…

I have email address of all my patients in the Contact Email portion of demographics.
